Profound comes with a set of preset roles, such as Admin, Editor, and Member. When none of them matches how your team works, create a custom role: pick the permissions, assign it to members, and change it later without reassigning anyone. A member with a custom role gets only the permissions that role grants. The custom role replaces their preset role rather than adding to it.

Who can manage roles

Members with the Manage user setup and permissions, including inviting users permission see the Roles tab and can create, edit, and delete custom roles. Among the preset roles, only Admins have it. You can also grant it to a custom role.

The Roles tab

  1. Select your organization name at the top left of the platform, then select Settings.
  2. Select People under Organization in the left navigation sidebar.
  3. Select the Roles tab.
The table lists every role in your organization, newest first. Custom roles carry a Custom badge. Use the Type filter at the top of the screen to show only Preset or Custom roles. Select a role to open it and see which permissions it grants. Preset roles are read-only, but you can duplicate one as the starting point for a custom role.

Create a custom role

Open the role editor

On the Roles tab, select Create Role.To start from an existing role instead, open its action menu and select Duplicate role. The editor opens with the source role’s permissions selected.

Name and describe the role

Enter a name in the Custom role name field and a Role Description. Both are required.The name has to be unique in your organization. The description appears next to the role in the Roles table and helps other Admins understand what the role is for.

Select permissions

Under Permissions, expand a group and select the actions a member with this role can perform. Use Select All or Clear All to toggle a whole group. The counter next to each group shows how many of its permissions are selected. Select at least one permission to save the role.

Create the role

After you select Create, the role appears in the Roles table and is ready to use. Assign it from the Members tab, the same way as a preset role.
Invitations and Directory Sync assign preset roles only. Switch the member to a custom role after they join your organization.

Custom role actions

Each row in the Roles table has a action menu:
  • Open: View the role and its permissions.
  • Edit role: Change a custom role’s name, description, or permissions. The change applies to every member with the role. Not available for preset roles.
  • Duplicate role: Start a new custom role with this role’s permissions preselected.
  • Delete: Remove a custom role. This can’t be undone. Not available for preset roles.
